Email addresses (2017)
Please could you provide me with an electronic copy of your policy for the granting of @parliament.uk email addresses – I imagine you hold one detailing who is entitled to such addresses, which departments and offices may apply for group/ corporate addresses, and more.
Please note, whilst the House of Commons and the House of Lords are separate public authorities in accordance with the Freedom of Information Act 2000 (FOIA), the Parliamentary Digital Service (PDS) is a joint service providing information and communications technology services for both Houses of Parliament, and our response covers both the House of Commons and PDS.

The Parliamentary Digital Service's (PDS) Account Management Policy contains information on who is eligible for a parliamentary account, including a parliamentary email address.
Please note, although this is the current policy, due to organisational restructuring, the following text contained within the policy requires updating. The name of the team and the board have changed and been replaced by equivalent groups.
“Any exceptions or exemptions from this policy require authorisation from a Digital Service director on advice from Digital Service Security and Risk Management Team staff; to be confirmed at board level (Operations or Directors Board).”
Please also note that the following information contained within the current policy needs to be updated. Parliamentary network users are now provided with Office 365, rather than a shared network folder:
“When completing this form the sponsor will be asked to specify:
• Which shared network folder locations the account user requires access to (and what type of access to them they need).”

Staff of both Houses – Administration
If you require members of administration staff to use the Parliamentary Network then they must have a network account. They will need security clearance prior to an account being created. To apply for a Parliamentary Network account for your staff please use Digital Support Online.
Group mailbox service
PDS provide a group mailbox service for Administration staff. This provides:
• a mailbox that departments or teams can share;
• an email address that can be used externally or on literature.
To request a group mailbox please contact the Digital Support Desk.
Members of the Commons
A Parliamentary network account will have been created for you automatically when you became a Member.
Additional email account
A second email account is only available for Members to manage their workload. It comes with 50GB of email storage and a default email address of [redacted]. To request an additional email account please complete the online form.
If you require members of your staff to use the Parliamentary Network then they must have a network account. They will need security clearance prior to an account being created.
